Offline Mode

Offline Mode

Capture receipts without an internet connection and understand how Receipt syncs your data when connectivity returns.

How offline mode works

The Stareceipt mobile app stores a local cache of your recent ledger data so you can keep capturing receipts even when there is no network connection — on a flight, in a remote area, or when your phone signal drops.

When connectivity returns, the app attempts to sync pending items to the cloud automatically.

What works offline

FeatureOffline support
Capture a receipt (photo or library)✅ Full support — queued locally
View recently synced receipts✅ Read-only access to cached data
Edit a cached receipt⚠️ Support varies by client version and cached state
Delete a cached receipt⚠️ Support varies by client version and cached state
AI recognition of captured images⏳ Queued — processed when online
Review actions❌ Review is unavailable while offline
Email Auto-Import❌ Requires connection
Invite team members❌ Requires connection

Capturing while offline

  1. Open the mobile app — it will show an Offline banner if no connection is detected.
  2. Tap +Camera (or Choose from Library) as usual.
  3. Take the photo and fill in any details you can recall (merchant, amount, date).
  4. Tap Save — the receipt is stored locally with the status Pending Sync.

Because AI recognition requires a server call, extracted fields may not auto-populate while offline. You can enter details manually and review after sync.

Viewing pending items

Receipts waiting to be synced are marked in-app with a pending sync status. Offline task views can be limited to local pending items only.

Sync behavior

The app syncs when network conditions allow. Some clients also expose pull-to-refresh or other manual refresh gestures after connectivity returns.

Offline cache size

The mobile app maintains a local cache of recent data. Cache depth and asset behavior can vary by client version, device storage, and deployment settings.

Web offline behavior

Current shared Web code includes an offline upload draft queue for supported files such as images, PDFs, and plain text. Web offline behavior is still narrower than the mobile offline flow, so treat browser offline support as draft-oriented rather than full parity with mobile capture and review.

Tips

  • Before travelling without connectivity, open the app on Wi-Fi so it can pre-load the latest receipts into the cache.
  • For expense-heavy trips, review your Pending Sync queue as soon as you land and have a connection — verifying AI-filled fields is faster than editing from scratch.
  • If pending items fail to sync after multiple attempts, check the in-app sync status details. Common causes include expired sessions and quota or connectivity constraints.
