Email Auto-Import
Bind your receiving email, forward receipt emails to upload@stareceipt.com, and let Stareceipt import them automatically.

Overview
Stareceipt does not sign in to your mailbox or sync your inbox directly. Instead, you first bind and verify the email address you want to use, then send or automatically forward receipt emails to upload@stareceipt.com.
When the service receives that email, it matches the sender address against your verified receiving email, extracts the receipt or invoice content, and routes the result into the linked ledger's review flow.
Before you start
You need three things set up:
- A Stareceipt account.
- A verified receiving email in Stareceipt settings.
- A ledger linked to that receiving email.
If your sender email is not bound and verified first, Stareceipt cannot reliably determine which user and ledger should receive the imported document.
Supported flow
Stareceipt currently supports this import pattern:
- Send receipt or invoice emails from your own verified email address to upload@stareceipt.com.
- Or configure your mailbox provider to automatically forward those emails to upload@stareceipt.com.
This works well for common digital receipts such as retailer invoices, SaaS billing emails, ride-share receipts, food delivery receipts, and PDF invoice attachments.
Set up your receiving email in the app
- Open the client that exposes Receiving Emails management.
- Go to Settings → Receiving Emails.
- Add the email address you use to receive digital receipts.
- Complete verification for that email address.
- Bind that receiving email to the ledger where imported receipts should go.
You can add more than one receiving email if you receive receipts in multiple inboxes, but each email should be verified and linked to the correct ledger.
Import receipts manually
If you only want to import a few emails occasionally:
- Open the receipt email in your mailbox.
- Forward it to upload@stareceipt.com.
- Send it from the same email address you already verified in Stareceipt.
- Wait a few minutes for processing.
How emails are processed
- Your email is sent or forwarded to upload@stareceipt.com.
- Stareceipt reads the sender address and matches it to a verified receiving email.
- The HTML body and supported attachments are parsed for receipt or invoice content.
- Recognised receipts are extracted and queued for AI analysis.
- The result is routed to the ledger linked to that receiving email.
- The extracted entry appears in the Needs Review flow for confirmation.
Set up automatic forwarding
If you receive digital receipts regularly, automatic forwarding is usually the best setup. Configure the rule in your own mailbox provider so matching emails are forwarded to upload@stareceipt.com.

Recommended approach:
- Forward only receipt-related emails when possible, using filters or rules.
- Keep a copy in your original mailbox so you still have the source email.
- Test with one message first before enabling a broad rule.
Gmail notes
Gmail usually requires you to add and verify the forwarding address before forwarding starts. If you are configuring filters, make sure the filter forwards only receipt-like emails instead of your whole inbox unless that is intentional.
Outlook notes
In Outlook, you can usually create a rule under Mail → Rules and choose Forward to or Redirect to. If your organisation blocks auto-forwarding, you may need to use manual forwarding instead.
Needs Review flow
Email-imported receipts usually land in Needs Review rather than being treated as fully verified immediately. This gives you a chance to:
- Verify the extracted amount and merchant.
- Assign the entry to the correct ledger.
- Discard duplicate or non-receipt emails.
This review step is especially important for invoices, multi-page PDFs, and forwarded email threads that contain extra text.
Duplicate detection
If the same receipt arrives both as a photo capture and an email import, Stareceipt can flag the pair as a potential duplicate. Resolve it using your client's duplicate-management flow, for example by dismissing the false positive or deleting the extra receipt.
Changing or removing a receiving email
Go to Settings → Receiving Emails in the app to:
- add another receiving email,
- verify an email,
- switch the primary receiving email,
- change the ledger binding, or
- remove an email you no longer use.
Removing a receiving email stops future imports from that sender address, but historical entries that were already imported are not deleted.
Privacy note
Stareceipt processes emails that are sent to upload@stareceipt.com for receipt extraction. We use the sender address to identify the correct verified receiving email and linked ledger. We do not require direct mailbox login for this feature.
