Stareceipt (“Stareceipt,” “we,” “us,” or “our”) is a receipt scanning and expense tracking app that helps users capture, organize, review, and export receipt and expense records.
This Privacy Policy explains what information we collect, how we use it, how we protect it, and what choices you have.
1. Information We Collect
We may collect the following categories of information when you use Stareceipt.
1.1 Information that may be linked to your identity
Location Data
- Precise location, when you enable features that require it, such as mileage tracking, trip recording, or location-based expense context.
- Approximate network-derived location associated with an app installation, including country, region, city, approximate latitude and longitude, and time zone. This information is inferred from the public IP address used for the lookup and may be linked to an installation or account.
Network and Connection Information
- Internet service provider, autonomous system number (ASN), network organization, and network domain associated with the connection used by the app.
- The app requests this information from an IP geolocation and network intelligence provider. The provider necessarily receives the public IP address from the network request. Stareceipt does not upload or store the raw IP address or the provider's raw response; it stores only the structured fields described above.
Financial Information
- Receipt and expense information, including merchant names, totals, tax amounts, dates, categories, payment method details, ledger/workspace information, reports, and other expense-related records.
- Payment-related information needed to support purchases, subscriptions, billing, or transaction history. Payment processing may be handled by third-party payment providers or app store platforms.
Contact Information
- Email address and account-related contact details.
- Receiving email addresses, connected Gmail account identifiers, and forwarding or mailbox synchronization configuration used to collect purchase receipt emails.
Identifiers
- User ID, account ID, authentication identifiers, and other identifiers used to operate your account and provide the Service.
User Content
- Receipt images, invoices, attachments, email receipt content, SMS or email content that you provide, upload, import, forward, or otherwise submit to the app.
- Expense notes, categories, reports, ledgers, and other records created by you in the app.
1.2 Information that may not be linked to your identity
Device Identifiers
- Device ID or similar technical identifiers used for app operation, security, analytics, diagnostics, and fraud prevention.
Usage Data
- Product interaction data, such as features used, screens viewed, actions taken, search or filter usage, and export activity.
- Website page views, referral or advertising campaign parameters, and interactions measured after you opt in to optional Google Ads measurement.
Diagnostics
- Performance data, crash logs, error logs, and other diagnostic data used to improve reliability and fix bugs.
2. How We Use Information
We use the information we collect to:
- Provide, operate, and maintain Stareceipt.
- Scan receipts and extract information such as merchant, amount, tax, date, category, and payment details.
- Import receipt images, invoices, forwarded purchase emails, and receipt-like messages from a Gmail account you choose to connect.
- Organize expense records by ledger, category, date, merchant, or report.
- Support mileage tracking and location-based features when enabled.
- Select reasonable regional defaults and understand broad usage regions without changing user-confirmed ledger or document facts.
- Detect potential duplicate receipts or expense records.
- Generate reports, summaries, tax-related views, and exportable data.
- Authenticate users and manage accounts.
- Provide customer support and respond to requests.
- Improve app performance, reliability, security, and user experience.
- Measure advertising campaign performance and understand how consenting visitors reach and use the website.
- Detect, prevent, and investigate fraud, abuse, security incidents, or technical issues.
- Support operational and security analysis using approximate, client-reported network information.
- Comply with legal, tax, accounting, regulatory, and platform requirements.
3. Email Receipt Processing
Stareceipt may allow you to forward purchase receipts, invoices, or billing emails to a receiving address, or optionally connect a Gmail account with read-only authorization. Connecting Gmail is independent from the method you use to sign in to Stareceipt.
When you use either feature, we may process:
- Sender email address.
- Email subject and body.
- Receipt or invoice attachments.
- Merchant, amount, tax, date, and purchase details extracted from the email or attachment.
- Ledger or account routing information associated with the receiving email.
- Connected account identifier, synchronization cursor, selected workspace, filter, and backfill period.
For connected Gmail, we use inbox and receipt-like signals to select candidate messages before retrieving their content for extraction. The Google refresh credential is stored only on our server in envelope-encrypted form; it is not stored by the app. Retrieval services use short-lived access credentials, and staged message content is temporary under our deployment retention policy. Read-only access does not permit Stareceipt to send, edit, or delete Gmail messages.
We use email content to provide receipt and invoice extraction. We do not use connected Gmail content for advertising, sell it as personal data, or use it for general-purpose model training.
You should only forward or connect emails that you are authorized to share with Stareceipt. Avoid importing messages that contain sensitive information unrelated to receipt or expense tracking. You may disconnect Gmail at any time; this stops future synchronization and revokes the Google grant but does not delete expenses already imported or change your Stareceipt login.
4. Location and Mileage Features
If you enable mileage or location-based features, Stareceipt may collect precise location data to record trips, calculate mileage, identify routes, or attach location context to expense records.
You can control location permissions through your device settings. If you disable location access, location-based or mileage-related features may not work properly.
Separately, the app may obtain an approximate location and connection profile from the public IP address used for a network request. This does not use your device's precise-location permission. IP-derived location can be inaccurate, shared by many people, affected by carrier routing, or reflect a nearby network exit rather than your physical location.
We treat this profile as client-reported, advisory information. It does not silently overwrite a country, region, tax setting, ledger setting, receipt field, or other fact that you or an authorized workspace member has confirmed.
4A. Partner Referral Program
If you arrive through an invited Stareceipt partner, we may process a referral code or opaque referral token, campaign metadata, registration and subscription milestones, app-store transaction status, and commission or payout records. We use these records to apply referral benefits, calculate and reconcile commissions, prevent self-referral and abuse, resolve disputes, and meet legal, tax, and accounting obligations.
Partners receive only information needed to operate the program, such as an internal referral alias, masked contact information, milestone dates, commission amounts and payout status. Partners do not receive your receipt images, expense ledgers, full contact details, payment instrument, app-store receipt, or raw provider transaction evidence through the partner portal.
Network, device, contact-domain, registration-velocity, and payment-subject indicators may be used as risk signals. A single shared network or similar signal does not by itself cause confirmed commission to be forfeited; material adverse action requires the program's review process.
If a referred user or partner deletes their account, we delete or anonymize portal identifiers and profile data while retaining the minimum pseudonymized commission, payout, tax, fraud-prevention, and accounting records required by applicable law and our agreements. Access to retained records is restricted to authorized operational, finance, legal, and security personnel.
5. Artificial Intelligence and Automated Extraction
Stareceipt may use automated processing and AI-assisted extraction to identify and structure information from receipts, invoices, emails, and uploaded content.
Automated extraction may include identifying:
- Merchant names.
- Receipt totals.
- Taxes, including GST or similar taxes.
- Purchase dates.
- Categories.
- Payment method details.
- Duplicate or potentially duplicate receipts.
You should review extracted information before relying on it for reimbursement, bookkeeping, tax filing, or other important purposes. Automated extraction may not always be accurate.
6. How We Share Information
We do not sell your personal information.
We may share information only as needed with:
Service Providers
Vendors that help us operate the app, such as cloud hosting, storage, authentication, email processing, analytics, diagnostics, payment processing, customer support, security, IP geolocation and network intelligence, and infrastructure providers.
When you allow optional advertising measurement, the website loads the Google Ads tag. Google may then process website usage, referral, advertising, device, browser, and cookie information to provide campaign measurement under Google's privacy terms. This website choice does not enable advertising personalization.
App Store and Payment Platforms
If you purchase subscriptions or paid features through an app store or payment provider, those platforms may process payment and account information according to their own terms and privacy policies.
Legal and Safety Reasons
We may disclose information if required to do so by law, regulation, legal process, court order, or governmental request, or if we believe disclosure is necessary to protect the rights, property, or safety of Stareceipt, our users, or others.
Business Transfers
If Stareceipt is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, user information may be transferred as part of that transaction, subject to appropriate protections.
7. Data Retention
We retain information for as long as necessary to provide the Service, maintain your account, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud, and support business operations.
For the IP-derived installation profile described above, Stareceipt keeps only the latest structured profile for an installation rather than a history of raw lookups. Resetting or invalidating an installation removes its profile. Account deletion removes a profile when the installation is associated only with the deleted account, subject to the limited legal and security retention exceptions described in this Policy.
You may request deletion of your account or certain data, subject to legal, tax, security, fraud prevention, and backup retention requirements.
Disconnecting Gmail revokes the Google grant and stops future synchronization. Account deletion also revokes and removes connected-mailbox credentials. Expenses already imported follow the normal receipt-retention and deletion lifecycle.
8. Data Security
We use reasonable administrative, technical, and organizational safeguards to protect user information. These may include encryption in transit, access controls, secure storage practices, monitoring, and other security measures.
However, no method of transmission or storage is completely secure. We cannot guarantee absolute security.
9. Your Choices and Rights
Depending on your location and applicable law, you may have rights to:
- Access personal information we hold about you.
- Correct inaccurate information.
- Delete your account or personal information.
- Export certain data.
- Restrict or object to certain processing.
- Withdraw consent where processing is based on consent.
- Control device permissions, such as location access.
- Opt out of certain analytics or communications where available.
- Accept, reject, or later change optional Google Ads measurement through the website's Privacy choices control.
To exercise your rights, contact us at privacy@stareceipt.com.
10. Children’s Privacy
Stareceipt is not intended for children under 13, or the minimum age required by applicable law in your jurisdiction. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can take appropriate action.
11. International Data Transfers
Your information may be processed and stored in countries other than where you live. These countries may have data protection laws that differ from those in your jurisdiction.
Where required, we use appropriate safeguards for international data transfers.
12. Third-Party Services
Stareceipt may integrate with third-party services such as cloud infrastructure, analytics, diagnostics, authentication, advertising measurement providers such as Google Ads, payment providers, email services, IP geolocation and network intelligence providers, or app store platforms.
These third parties may process information according to their own privacy policies. We encourage you to review their privacy practices.
13. Do Not Track and Advertising
Stareceipt does not sell personal information. The public website offers optional Google Ads measurement to understand advertising performance. The Google Ads tag does not load until you select Allow in the website's advertising measurement notice. If you select Reject, the tag remains blocked and no Google Ads measurement data is sent by that tag.
After opting in, Google Ads may use cookies or similar storage and receive page, referral, campaign, browser, device, IP-address, and interaction information for measurement. The website keeps advertising personalization disabled. You can withdraw or change your choice at any time through the persistent Privacy choices control. Withdrawing consent updates the tag's consent state for future activity, including in other open website tabs; data already processed remains subject to applicable retention requirements and Google's privacy terms.
Browser Do Not Track signals are not interpreted as a separate consent mechanism. Your explicit website privacy choice controls whether the Google Ads tag loads.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date and may provide additional notice, such as through the app, website, or email.
Your continued use of Stareceipt after the updated Privacy Policy becomes effective means you acknowledge the updated policy.
